Trail Run Series “Stirnu Buks 2018″

RULES AND REGULATIONS

The aims of the Trail Run:

  • To lead the participants into the breathtakingly scenic Latvian forest trails introducing them to the surroundings where every human becomes better, friendlier and more open.
  • To render the old, boring notion of “I detest running” useless and insignificant.
  • To encourage every Latvian to run into the woods!
  • To createa trail run series, which would be truly appealing even to its creators and organizers!

Organizers

Trail run series “Stirnu Buks 2018″, hereinafter Trail Run, is organized by the sports association “Engures Sportam”.

  1. Distances

1.1. Trail Run takes place on a number of different roads and tracks (asphalt, gravel roads, forest roads, footpaths, long trails and off-roads).

1.2. There are 5 different distances available for each Trail Run race:

distance "Susurs (Dormouse)": ~ 1km for children up to age 10,

distance "Vāvere (Squirrel)": 4-6 km,

distance  "Zaķis (Hare)": 10-13 km,

distance "Stirnu buks (Roebuck)": 18-23 km,

distance "Lūsis (Bobcat)": 27-35 km.

1.3. Participants of the distances "Hare", "Roebuck" and "Bobcat" enter an additional competition for the title of the "Roebuck Mountain King and Queen", where on a selected part of the track (200-600 m) special tests are conducted to determine the participants who have performed fastest during this section of the track.

1.4. The Trail Run race tracks are marked with tags and warning signs!

1.5. There is NO time control in the distance "Dormouse," hence there are no prizes or awards for this category! All the participants of the "Dormouse" distance take part in the final prize draw in the lottery immediately after the last runner of the "Dormouse" has crossed the finish line.

1.6. The results of the "Squirrel", "Hare", "Roebuck" and "Bobcat" distances are recorded using electronic time control system.

  1. Participants and age groups

2.1. Participants in the "Dormouse" distance are up to 10 years old;

2.2. There is no age limit for the distance "Squirrel";

2.3. Participants from the age of 8 are allowed to participate in the distance "Hare";

2.4. Participants from the age of 16 are allowed to participate in the "Roe Buck" distance;

2.5. Participants from the age of 18 are allowed to participate in the "Bobcat" distance.

2.6. The Participant or his/her legal guardian assumes full responsibility for his/her state of health, fitness and ability to run the distance chosen. The assumed responsibility is confirmed by the signature of the runner upon the receipt of the participant's registration number bib. The organizers of the race are not responsible for any injuries or accidents obtained during the race.

2.7. Organizers provide medical assistance to the participants at the start/finish line or during the race upon necessity.

2.8. The participants in the "Hare", "Roebuck" and "Bobcat" distances are divided into the following age groups:

Time and place of the Trail Run

3.1. The competition takes place on the following dates in following locations:

14 April, 2018, “The Roebuck of Tērvete Forest”, start and finish – Latvian State Forests National Park in Tērvete, Tērvete district, Latvia;

5 May, 2018, “The Roebuck of the Blue Hills”, start and finish – Tourism, sports and recreation centre “Zilie kalni”, Ogre, Latvia;

9 June, 2018 “The Roebuck of Piebalga”, start and finish – to be specified, Jaunpiebalga district, Latvia;

28 July, 2018, “The Roebuck of Kamparkalns”, start and finish – recreation centre “Kamparkalns”, Talsi district, Latvia;

18 August, 2018, “The Roebuck of Šlokenbeka”, start and finish – Šlokenbeka Manor, MilzkalneEngure district, Latvia;

8 september, 2018, “The Roebuck of Gaiziņkalns”, start and finish – Gaiziņkalns, Madona district, Latvia;

29 September, 2018, “The Roebuck of Līgatne”, start and finish – Līgatne, Latvia.

Registration

4.1. Registration of participants for individual competitions takes place on the internet, starting from January 4, 2018, at www.stirnubuks.lv under the "Register" section. Online registration is closed on the last Thursday at 12:00 before each respective race!

4.2. The last minute registration is also possible on the day of the race. Last minute registration takes place on race location before the start. Registration is open up until 30 minutes before the start time of the respective distance.

4.3. Participation fee includes participant's bib number, first medical aid at the venue, track marking and referees' work, organizing the race, catering and drinking points on the route, catering after the finish, a commemorative medal for all participants who finish one of the distances, car parking, free photo gallery and video review on the competition website, keeping the records of the race results for the participants of the distances "Squirrel", "Hare", "Roebuck" and "Bobcat".

4.4. The participants may change their chosen distance or change the name of the registered participant for another participant as well transfer the Entry fee to the next race (by sending an email). The aforementioned changes must be submitted by Wednesday before the respective race no later than 17:00. These changes are made FOR FREE WITH NO ADDITIONAL FEE!

4.5. All changes submitted later must be made on the Race Day at the Reception Tent "New Registration". A new number bib with a new timing chip will be issued to the Participant, for which an additional fee of 5, - EUR will be charged.

4.6. From November 20, 2017 to January 31, 2018, participants can purchase a season ticket for the 2018 season. The ticket covers the participation fee in all 7 races, it is not tied to a specific distance. Anyone who buys a season ticket will receive a special "Stirnu Buks" jersey shirt at no additional cost.

4.8. The owner of the season ticket has to submit  information (in the form or electronic questionnaire) indicating the distance chosen for the respective race to the organizer by Sunday 24:00 previous to the respective race.

4.9. The season ticket is valid only for the person registered and it is not transferable to another person!

Prizes and Awards

Prizes provided by the sponsors and supporters of the race are awarded to the winners of 1st, 2nd and 3rd place for the distances “Squirrel”, “Hare” and “Bobcat” measuring overall scores for men and women, as well as for the winners of the 1st, 2nd and 3rd place in the age groups mentioned in point 2.8. to the runners of the distances “Hare”, “Squirrel” and “Bobcat”.

In the final race the winners of the overall score for the whole Trail Run Series are awarded.

  1. Total score in the individual account

7.1. Each “Stirnu Buks” race is a separate race.

7.2. Participants will have the opportunity to fight for victory in the overall ranking of the competition in 3 different distances - "Hare", "Roebuck" or "Bobcat", which will estimate the best 5 results of each participant on a given distance! The overall score will be determined by summing the points earned in one distance. In the event of the same result, the highest score is awarded to the participant who earned more points in the final stage of the series.

7.3. Each winner of the "Hare", "Roebuck" and "Bobcat" distances is awarded 1000 points; the result of each subsequent participant is calculated according to the following formula: the winner's time is divided by the time shown by each participant and multiplied by 1000.

7.4. The winner of the "Roebuck Mountain King and Queen" sprint stage (all participants of the distances "Hare", "Roebuck" and "Bobcat" enter automatically) will score 300 points; the result of each subsequent participant will be calculated according to the following formula: the winner's time will be divided by each participant's time and multiplied by 300.

7.5. In calculations of participant's overall score both the result for the whole distance and the result for the sprint stage is summed to form the total score. At each race for each distance, the maximum possible score is 1300.

7.6. The unofficial rating of the overall race is also published as part of the Sprint stage "Roebuck Mountain King and Queen".

  1. The overall rating of teams

8.1. Participants can apply to participate in the Trail Run in teams consisting of 4-12 members. The team can be registered by sending an e-mail containing a team name and a list of participants to info@stirnubuks.lv.

8.2.   In order to participate in the team competition, there have to be at least 4 runners competing in one of the distances "Hare", "Roebuck" and/or "Bobcat".

8.3. One participant can only be registered in one team. The team represented during the season cannot be changed! A team may add members up to completing the team (total number of 12 members) during one season by notifying and registering the additional members by email: info@stirnubuks.lv no later than one week before the next race.

8.4. The total score of the teams is calculated by evaluating the points won by the team members in each race, including the highest result in the overall score from the 2 team members, who participate in the distance "Bobcat"  regardless of gender (points won for the distance+ sprint stage), 2 team members participating in the distance "Roebuck "(points won for the distance+ sprint stage) and 2 teams participating in the "Hare"(points won for the distance+ sprint stage).

8.5. The overall team ranking is estimated totalling the scores of all 7 races of the season.

  1. General Details of the Trail Run events

9.1. All participants have a common start for each distance. The winner is the first participant who finishes the distance.

9.2. Trail Run takes place on tagged tracks labeled by blue and white tags and specific warning signs.

9.3. Municipal or Police or National Guard officers will be on standby at national level roadside crossings ensuring safety of the runners.

9.4. Water distribution points will be active on numerous points on the track.

9.5. Each track has several checkpoints installed, ensuring the tracking and recording  of the progress and results of each runner.

9.6. In the event of participant's withdrawal, the organizers do not ensure that the participant reaches the finish line. In the case of health problems or injuries, the participants must seek the assistance of the referees and/or other race participants on the track to solve the problem/-s and contact the organizers.

9.7. Catering: each participant will have the opportunity to receive a catering service after finishing the distance.

Photos

During the race, at the start / finish line, there will be photographers at certain points of the track. The photos will be available on the website www.stirnubuks.lv and on social sites.

Organizers keep the right to use the audiovisual media material taken during the competition for purposes of self-promotion without bringing it to accord with the participants.

  1. Rules

12.1. The number bib issued to the participant must be placed and secured above the sports shirt. Altering, damaging, painting or covering the number with a sports bag / belt etc. is prohibited.

12.2. Each participant of the distance "Squirrel", "Hare", "Roebuck" and "Bobcat" receives a time control chip alongside with the registration number. Time control is conducted at the start and finish line as well as during the race.

12.3. Each participant signs a waiver upon receipt of the number bib, by which the participant assumes full responsibility over the state of his/her health, fitness and the ability to compete in the chosen distance. Participants under the age of 18 must be registered by a legal guardian, who signs the aforementioned waiver. The organizers do not bear responsibility over any injuries or health problems obtained during the race.

12.4. It is forbidden to follow or run/ride alongside the participants on foot or by bike, unless the person has entered the race as a registered participant.

12.5. Participants in need of medical assistance are to respect and follow the instructions and professional opinion of medical staff when considering the resuming the chosen distance.

12.6. All participants not following the rules or not being compliant with principles of  fair competition will be disqualified. Any disagreements will be solved using the checkpoint results, observations of referees and video evidence.

12.7. Participants are kindly asked not to litter and act responsibly towards nature and environment.

12.8. The Trail Run is organizers ensure partial limitation of traffic in the area of the race.

12.9. All participants must comply with the traffic regulations and transport safety rules.

12.10. Participants should bear in mind that vehicles may show up unexpectedly driving to/from homes, from meadows, on forest roads etc.

12.11. The runners are to be especially careful when crossing roads!

12.12. Organizers do not take any responsibility for possible roadside or traffic accidents occuring during the race.

12.13. In case of fellow participants experiencing unexpected problems on the track the other participants have an obligation  to come to aid and be of assistance to the person experiencing problems!

Protests

Protests are accepted upon the payment of 30 EUR safety deposit up to one hour past the finish of the race. In case of justified protest the safety deposit is returned to the claimant in full amount.

Changes to the competition Rules and regulations

The organizers keep the rights to render changes and issue additions to the Rules and Regulations. Organizers announce changes to the rules and regulations in their communication channels - websites, social networks, emails to the participants, indicating the nature of the changes. The organizers are not responsible for the participants not being familiar or misunderstanding with the regulations.
